Steps To Execute
Interface: Classic Role(s): Kimray - Buyer; Kimray - Purchasing Manager; Kimray - Outsourced Manufacturing Scheduler 1. Navigate to Transactions > Purchases > Enter Request for Quote > List. 2. Click the Document Header column to sort from Newest to Oldest or Oldest to Newest. 3. Note the latest RFQ Document Number generated so you know what RFQ # you are about to generate. You will enter the RFQ# you will be generating in Step 1 3. 4. Navigate to Purchases > Enter Request for Quote. 5. Validate that the 'Employee' and 'Date' are correct. 6. Select the required 'Effectivity Based On'. - Order Date: when the order is placed. - Expected Receipt Date: when the order line is expected to be received. 7. Enter the 'Purchase Contract Estimated Start Date' and 'Purchase Contract Estimated End Date'. - Purchase Contract Estimated Start Date: the start date of the potential Purchase Contract. - Purchase Contract Estimated End Date: the end date of the potential Purchase Contract. 8. Enter the 'Reason for Quote', 'Contact', and 'Memo' 9. Validate the 'Subsidiary' is Kimray, Inc. 10. Enter the mandatory 'Location' that this RFQ is for. 11. Enter the 'Bid Start Date' and 'Bid Close Date'. - Bid Start Date: the beginning date of the period you will accept RFQ Responses from Vendor(s). - Bid Close Date: the final date of the period you will accept RFQ Responses from Vendor(s). 12. Enter the required 'RFQ#'. 13 .Navigate to the Items tab. 14. Enter the 'Number of Pricing Tiers' 15. Select the Item(s) that you are requesting to get a pricing bid on from the Vendor(s). 16. Validate or change the 'UOM'. 17. Enter 'Item Memo' if applicable. 18. Click on the + icon in the 'Tier Pricing' column. 19. Select the 'Calculate Quantity Discounts'. 20. Select the 'Price Using'. 21. Enter the 'Quantity' tiers you would like to collect pricing on from the Vendor(s). Please note that their first tier must be 0. 22. Click 'OK' - You will do the three Steps above for each item. - Please note that the Quantity Tiers can be unique per item. 23. Select the line level 'Location(s)'. 24. Enter the 'Est. Annual Usage', 'Suggested Min. PO Qty. ', 'Drawing #', and 'Revision #' for each item. 25. Navigate to the Terms tab and validate the 'Payment Terms' that will be proposed. 26. Navigate to the Special Instructions tab and populate the 'Special Instructions' message is applicable. 27. Navigate to the Vendors tab. 28. If applicable, enter a custom 'Email Introduction' to send to the Vendors that you are Requesting a Quote. 29. Select the Vendor(s) and corresponding Contact(s)you want to send the Request for Quote (RFQ) to for bidding. 30. Check the 'Email' checkbox to communicate the Request for Quote to each Vendor selected. 31. Click 'Save'.
Expected Results
1. User navigates to the List of Request for Quote transactions. 2. The Documents Number column is sorted accordingly. 3. The RFQ# to be generated is understood. 4. Successfully able to Navigate to create a new Request for Quote. 5. The 'Employee' correctly defaults to the current user and the 'Date' correctly defaults to today. 6. User correctly selects the appropriate 'Effectivity Based On' value. 7. The User correctly enters the 'Purchase Contract Estimated Start Date' and 'Purchase Contract Estimated End Date' without warnings. 8. User enters the applicable 'Reason for Quote'. 9. The 'Subsidiary' is correctly defaulted to Kimray, Inc. 10. The User selects the correct 'Location' for the RFQ. 11. The User correctly enters the 'Bid Start Date' and 'Bid Close Date' with no warning messages. 12. The 'RFQ#' is correctly entered. 13. The Items tab is navigated to. 14. The proper 'Number of Pricing Tiers' is entered. 15. The items are selected. 16. The UOM is validated. 17. The Item Memo is entered. 18. The + icon is clicked. 19. The user selects the Calculate Quantity Discount 20. Price Using is selected. 21. The Quantity tiers are entered. 22. OK is clicked. 23. The line level Location is selected. 24. The additional line level fields are populated. 25. The user navigates to the Terms tab and validates the Payment Terms 26. The user navigates to the Special Instructions tab and enters a Special Instructions message. 27. The user navigates to the Vendors tab. 28. The user enters a custom Email Introduction if applicable. 29. The Vendors are selected. 30. The email checkbox is checked 31. The RFQ is saved.
